Gonzalez Language Solutions, LLC — Clarksville, Tennessee

These Terms of Service govern all interpretation and translation services provided by Gonzalez Language Solutions, LLC ("the Company," "we," "I") to any client ("you") contracting for services in Tennessee or Kentucky. Requesting or accepting a quote, booking an appointment, or receiving services constitutes agreement to these terms.

1. Services

The Company provides professional Spanish-English language services: on-site, video, and telephone interpretation, as well as written document translation (English-to-Spanish and Spanish-to-English). Services are provided by the owner-operator or an approved subcontractor, each subject to the same confidentiality obligations.

2. Quotes, Booking & Confirmation

  • All services are scheduled by appointment. Availability, rate, language direction, time zone (where applicable), and expected duration are confirmed in writing before any job is accepted. A booking request is not a confirmed appointment until you receive written confirmation.

  • Document translation projects require the document's length, complexity, target Spanish variant, formatting, delivery format, and deadline before a written quote is issued. Verbal estimates are not binding.

  • The Company may decline any assignment, including assignments requiring credentials the Company does not hold (such as certified court or certified medical interpretation).

3. Rates & Payment

Service Rate Booking Rules On-site interpretation $100/hour 2-hour minimum; travel fee agreed in advance Video interpretation $75/hour 30-minute minimum, billed proportionately thereafter Telephone interpretation $ 30 per 30 minutes Scheduled appointments; 30-minute minimum Document translation $0.25 per source word $35 minimum per document. Rush translation: Standard rate + 25–50%. Accepted only when the deadline can reliably be met. Monthly service package: $285 for 5 prepaid hours. Prepaid, scheduled hours; clear expiration and cancellation terms

  • Payment deadline: Invoices are due within [15] days of receipt. Late payments accrue a late fee of [1.5%/month] or the maximum permitted by law, and may result in suspension of services.

  • After-hours service (evenings/weekends) is available by advance arrangement at the published premium.

  • Travel: Travel is billed per the Company's Travel & Fee Schedule — drive time, mileage at the current IRS rate, and for overnight assignments, lodging and meals per published federal per-diem rates. Travel costs are quoted in advance; overnight assignments require a travel deposit before departure.

4. Cancellations & Changes

  • Appointments may be canceled or rescheduled without charge with at least [24] hours' notice. Cancellations with less notice are billed at [50%] of the confirmed minimum.

  • Scope changes during a job are recorded and billed as agreed.

5. Revisions & Accuracy

  • Translation includes one round of client-requested revisions delivered within [10] business days of delivery, provided the original source document is unchanged. Additional revisions, or changes to the source document after work begins, are quoted separately.

  • Interpretation conveys what the parties communicate in real time; the Company does not provide transcripts unless agreed in writing.

6. Confidentiality & Data Handling

  • All information obtained before, during, or after a session or project is confidential, whether or not a separate written agreement is in place, and that obligation survives termination.

  • Client documents are accessed only by the Company, never shared with third parties, and transferred using secure arrangements appropriate to the material — not ordinary email attachments for sensitive documents.

  • Where an assignment involves protected health information on behalf of a covered entity, the Company will determine whether a business associate agreement and additional HIPAA safeguards are required before accepting the assignment.

  • Project files are returned, deleted, or destroyed per the client's written preference at completion; the Company retains only business records needed for accounting, tax, and legal purposes.

7. Professional Boundaries & Limitations

  • The Company translates and interprets what the parties communicate and does not act as a lawyer, healthcare professional, financial adviser, or decision-maker. Services do not constitute legal, medical, or financial advice.

  • The Company describes its qualifications accurately and does not claim certifications it does not possess. The client is responsible for confirming that the Company's qualifications meet any requirement of the receiving organization (e.g., court, healthcare vendor approval, certification of accuracy).

  • Document certification is provided only where the Company is qualified, and the arrangement is confirmed in writing.

8. Limitation of Liability

The Company's total liability for any claim arising from services is limited to the fees paid for the specific assignment giving rise to the claim. The Company is not liable for indirect, incidental, or consequential damages, including lost business or profits, to the maximum extent permitted by law. The Company is not liable for delays caused by circumstances beyond its reasonable control; affected appointments will be rescheduled.

9. Termination

Either party may terminate the service arrangement with [7] days' written notice. The client remains responsible for all services performed and prepaid hours scheduled before the effective termination date. Monthly package terms govern the expiration of prepaid hours.

10. Governing Law

These terms are governed by the laws of the state in which the services are performed (Tennessee or Kentucky), and any dispute will be resolved in the courts of that state.
